Export Calendars Pro, a Mac app, exports events and reminders from your Mac's Calendar and Reminders apps to Excel, CSV, tab-delimited text, or the clipboard. It supports all calendar sources Apple's Calendar app does, including Google and Exchange calendars. Unlike other tools, it exports special fields like event duration, useful for billable hours. It also works with BusyCal and Fantastical, provided the calendars are configured in Apple's Calendar app.

How to export Apple Calendar to Excel or CSV

  1. Choose what to export

    Set the date range in the Fetch Events view and tick the calendars you want. Events and reminders appear right away, including iCloud, Google, and Exchange calendars.

  2. Build an export template

    Pick the fields to export in the Export view, then name and order the columns and set how the rows sort. Duration and total-duration fields live here too.

  3. Choose a format

    Choose an Excel workbook, CSV, tab-delimited text, or the clipboard. Dates keep real date cells in Excel instead of turning into text.

  4. Export and reuse

    Export the file and open it in Excel or Numbers. Save the template to repeat the same export with one click.

Frequently asked questions

Can I export iCloud, Google, and Exchange calendars?

Yes. Export Calendars Pro exports every calendar source Apple’s Calendar app supports, including iCloud, Google, and Exchange, once the calendars are set up as accounts in Apple Calendar. It also reads calendars from BusyCal and Fantastical, as long as those are configured in Apple Calendar.

Can it export reminders as well as events?

Yes. Reminders from Apple’s Reminders app export alongside events, each with its own fields: due date, priority, completion date, flag, and tags. A search option leaves completed reminders out when you only want the open ones.

Can it add up billable hours from my calendar?

Yes. The Duration field reports each event’s length to the minute, or rounded to quarter or full hours. The Calculate total duration option then adds a row with the sum, ready for timesheets and invoices.

Can it pull addresses or values out of event notes?

Yes. Export Calendars Pro extracts postal addresses, phone numbers, email addresses, URLs, and hashtags from an event’s notes, location, and title. It also splits a field at a separator or reads a labeled value: from a note line that reads Hourly rate: 60, it exports 60 into its own column.

Can I automate exports with Shortcuts?

Yes. Export Calendars Pro adds an Export Events & Reminders action to Apple’s Shortcuts app. Hand it a saved search filter and an export template, pass the date range as input, and it returns the finished file. From macOS 13 Ventura on, the whole export runs without opening the app.

Does my calendar data stay on my Mac?

Yes. Export Calendars Pro runs entirely on your Mac and collects no data. Unlike web-based calendar converters, it uploads nothing, so your appointments never leave your computer.

Can I import events as well?

Not with this app. Export Calendars Pro reads Apple Calendar and Reminders and writes spreadsheets. Importer for Calendar goes the opposite way, from Excel or CSV into Apple Calendar, and it also turns a spreadsheet into an .ics file.
